Pink Shirts Camps (“we”, “us”, “our”) is committed to protecting the privacy of all members of the Pink Shirts Community, including children. This Privacy Policy explains how we collect, use, disclose, and protect personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. What Data We Collect

We collect the following information when you register and use the Pink Shirts Camps website:

• Name and email address (for account registration)
• Event registration data (which camps you are registered for)
• Photos uploaded to event galleries
• Discussion forum posts and replies
• Technical data (browser type, IP address for security purposes)

2. How We Use Your Information

We use your personal information to:

• Manage your account and provide access to event content
• Facilitate event photo galleries and discussion forums
• Send account verification and password reset emails
• Ensure the security of our platform

3. Photos of Minors

This section is particularly important given the nature of our community.

• Photos uploaded to event galleries may contain images of children (minors under 18).
• All photo uploads require explicit consent confirmation that the uploader has permission from all individuals (or their parents/guardians) pictured.
• All photos are moderated by an administrator before appearing publicly on the site.
• Photos are only accessible to authenticated members who were registered for the specific event.
• Any parent or guardian may request the removal of photos featuring their child at any time.
• We will remove any photo within 48 hours of a valid removal request.
• Photos must not be downloaded, shared, or distributed outside the Pink Shirts Community platform.

4. Member Rights

Under the Australian Privacy Act, you have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your account and associated data
• Request removal of any photos featuring you or your child
• Lodge a complaint about the handling of your personal information

5. Data Retention

We retain your personal information for as long as your account is active. Event archives (photos and forum posts) are retained for a period of 3 years after the event date, after which they are permanently deleted unless a longer retention period is required by law. You may request early deletion at any time.

6. Data Security

We implement appropriate technical and organisational measures to protect your personal information, including encrypted storage, secure authentication, and access controls. All photos are stored in secure cloud storage with access restricted to authorised members only.

7. Right to Request Removal

You may request the removal of any personal information, photos, or forum posts by contacting our Privacy Officer. We will process removal requests within 30 days. For photos of minors, we aim to process removal requests within 48 hours.
